About The Role



The Office Manager keeps the Boston operations hub running smoothly for a distributed technology team, owning workplace systems, vendor coordination, employee logistics, and day-to-day administrative workflows.



This role matters because reliable operations remove friction from engineering, product, sales, and leadership teams. The role will manage both in-office and remote processes using tools such as Slack, Google Workspace, Notion, Jira, Ramp, and Zoom.



Key Responsibilities





- Own office operations, including facilities, supplies, access control, shipping, maintenance, and workplace safety
- Manage vendors, leases, service agreements, and renewals; track budgets, invoices, and service-level issues in partnership with Finance
- Coordinate onboarding and offboarding logistics across IT, People Operations, and hiring managers, including equipment, access, workspace, and documentation
- Plan team events, executive visits, customer meetings, and offsites from vendor sourcing through post-event reconciliation
- Maintain operational documentation, office policies, emergency procedures, and recurring checklists in Notion or a comparable knowledge base
- Administer purchase requests, expense workflows, and office-related records using tools such as Ramp, Coupa, or equivalent platforms
- Monitor workplace needs across remote and in-office employees, resolve issues quickly, and provide clear status updates to stakeholders





What We Are Looking For





- 3-6 years of experience in office management, workplace operations, executive administration, or a similar high-volume coordination role
- Experience supporting a technology company, distributed workforce, or rapidly scaling organization with changing priorities
- Strong proficiency with Google Workspace, Slack, Zoom, Notion, and spreadsheet-based budget and inventory tracking; familiarity with Jira or similar workflow tools
- Demonstrated ability to manage vendors, invoices, budgets, events, and multiple operational projects simultaneously
- Excellent written and verbal communication, sound judgment, and discretion when handling employee, financial, and business information
- Associate or bachelor's degree in business administration, operations, hospitality, communications, or a related field, or equivalent practical experience
- Bonus: Experience with workplace management platforms, IT asset tracking, office buildouts, people operations systems, or supporting teams across multiple locations
