Job Description

We are seeking a dependable, detail-oriented Virtual Medical Assistant (VMA) to support a busy Hematology and Oncology practice. The primary responsibility will be coordinating New patient referrals, with additional virtual medical administrative duties as assigned.

Key Responsibilities :

Process and track new patient referrals.

Register patients and verifiy demographic information.

Review referrals for completeness and accuracy.

Request laboratory results, pathology reports, imaging, hospital records, genetic testing, previous Oncology / Hematology records and other related medical records.

Follow-up with referring offices, hospitals laboratories, and medical- record departments.

Verify insurance eligibility, benefits, and authorization requirements.

Schedule new patients according to provider protocols, availability, and clinical urgency.

Identify incomplete or potentially urgent referrals and escalate them appropriately.

Answer and make patient-related telephone calls. (Inbound & Outbound)

Confirm appointments and communicate scheduling instructions to patients.

Document all calls, requests, follow-ups and actions accurately in the EMR.

Manageassigned inboxes, faxes, task lists, and referral queues.

Assist with appointment coordination, administrative follow-ups, data entry, and other virtual medical assistant duties.

Maintain patient confidentiality and follow HIPAA requirements.

Required Qualifications:

Previous experience as a Virtual Medical Assistant, New patient Coordinator, Referral Coordinator, Medical Scheduler, or Medical Receptionist.

Experience working with US healthcare practices.

Good understanding of medical terminology.

Experience using an EMR or practice-management system.

Excellent written and spoken English.

Strong telephone communication and customer-service skills.

Excellent attention to detail, organization, and follow-through.

Ability to work independenty and manage multiple priorities.

Reliable computer, high-speed internet and quiet working environment.

Availability during agreed Arizona (US) working hours. (8 AM - 5 PM)

Preferred Qualifications:

Graduate of Nursing, Medicine, Pharmacy, Medical Technology, Physical Therapy or another healthcare-related program.

Registered Nurse (RN), Medical Doctor (MD), or allied healthcare professional preferred.

Previous experience as a Virtual Medical assistant,New patient Coordinator, Referral Coordinator or Medical Scheduler.

Strong understanding of medical terminology.

Excellent writtend and spoken English.

Experience using an EMR or Practice-Management system.

Strong attention to detail, organization, and follow-through.

Reliable computer, high - speed internet, and quiet working environment.

Available to work during agreed US/Arizona hours.

Bilingual English-Spanish communication skills are a strong advantage but are not required.
