Position Overview
The Membership Secretary and Executive Administrator serves as the principal administrator for governance operations, committee administration, and executive support functions of the Club Secretary and General Manager. The position acts as a central point of coordination among the Board of Trustees, Executive Committee, Club Committees, members, Club Executives, and affiliated organizations.
The Membership Secretary and Executive Administrator independently manages multiple governance processes throughout the year, ensuring compliance with Club bylaws, maintaining official records, coordinating committee operations, and supporting executive leadership in the administration of the Club.
Key Responsibilities
Governance & Committee Administration
- Provide intensive administrative support to the Executive Committee, Board of Trustees, and General Manager.
- Maintain comprehensive records for approximately 15 standing committees and 15 special committees.
- Maintain historical committee records and archives
- Track committee appointments and term expirations
- Coordinate annual committee appointment process
- Coordinate committee meetings, including scheduling, meeting logistics, agenda preparation, report distribution, and recordkeeping.
- Prepare meeting materials, presentations, minutes, attendance records, quorum verification, and follow-up communications.
- Publish required notices of meetings, officer nominations, member delinquency notices, and other governance communications in accordance with Club rules and bylaws.
Executive Support & Protocol
- Provide direct administrative support to the Club's Flag Officers.
- Draft, review, and manage official correspondence on behalf of Club leadership.
- Coordinate protocol requirements associated with Club governance, ceremonies, and official functions.
- Receive, review, and route incoming Club correspondence to the appropriate Club leaders, committees, or departments.
- Provide administrative support to the Club’s General Manager, including:
- Manage executive calendars
- Coordinate travel logistics
- Prioritize competing requests
- Prepare confidential correspondence
- Assemble board materials
- Track follow-up actions
Club Communications & Publications
- Prepare and publish the Club's annual General Orders and other required governance notices and communications.
- Draft, edit, and distribute official membership and governance communications.
- Ensure the timely distribution of annual notices and reports required by Club bylaws and policies.
- Serve as project manager for the annual Committee Book from data collection through printing and distribution.
- A high-level of database management and reporting is required.
Ceremonial and Special Event Support
- Coordinate invitations and correspondence with approximately 100 yacht clubs, sailing organizations, and distinguished guests for the Club's annual Commissioning Ceremony.
- Work closely with the Fleet Captain and Special Events Director to manage invitation lists, responses, and event communications.
- Support the Performance Sailing Fund through meeting coordination, correspondence, invitations, fund raising, and administrative assistance.
- Assist with special projects, ceremonies, governance initiatives, and Club events as assigned, such the Annual Meeting.
- Professionalism and discretion skills required in sometimes confidential communications.
Qualifications:
- Five or more years supporting senior executives, boards, or committees
- Experience within a private club, hospitality, nonprofit, university, association, or professional services environment
- Exceptional written and verbal communication skills
- Outstanding organizational and project management ability
- Ability to maintain confidentiality
- Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams is required. The successful candidate will regularly manage executive calendars, produce reports, coordinate meetings, and prepare governance materials using Microsoft 365.
- Maintain committee and governance information within the Club's membership database and generate reports supporting governance, committee administration, and executive decision-making.
- Experience preparing meeting agendas and minutes
- Experience maintaining governance records
- Ability to manage multiple deadlines simultaneously
- Ability to collaborate with colleagues across all club departments, including food and beverage, hotel, sailing office, and administrative offices.
Location: New York Yacht Club, 37 West 44th Street, New York, NY 10036
Work schedule: Full-time, year-round. Monday to Friday with some evenings and potential overnight travel to Newport, RI.

Compensation and Benefits
