Job Description
Overview
Professionally greets and welcomes patients and their friends/family, registers and schedules appointments in an efficient and timely manner, and answers, screens, and directs all incoming calls to appropriate personnel while relaying messages between patients and clinical staff. This role also schedules outside testing and referrals for patients as required, assists providers in correspondence with referring physicians, and updates medical records by scanning reports and notes into patient charts. The position supports and adheres to the organization’s compliance program, including the Code of Ethics and Business Standards.
Responsibilities
• Greets patients and visitors to the office in a prompt, courteous, and professional manner. Checks in patients and informs clinical staff of patient arrival.
• Provides and explains paperwork for the patient to complete prior to examination. Collects, proofs for completeness, and files patient forms.
• Updates demographics and insurance information in the system. Collects co-pays and balances; provides receipts.
• Answers, screens, and responds to routine questions; routes to appropriate personnel or takes thorough messages. Pages clinical personnel as appropriate. Communicates messages accurately and timely according to procedures.
• Checks patients out after examination. Schedules returning appointments in accordance with provider and/or office guidelines. Provides patients with appointment details such as time, location, directions, instruction sheets, and other details.
• Records patient cancellations and missed appointments; reschedules appointments. Notifies appropriate staff of cancellations and makes notes in patient charts.
• Provides general administrative support by filing charts and forms. Maintains lobby area in a neat and orderly manner. Maintains a legible supply of forms and appropriate office supplies required for daily activities.
• Schedules outside testing and referrals for patients as required and follows up to ensure reports are received and uploaded into patient charts.
• Assists providers in correspondence to referring physicians, including sending completed notes and scanning them into patient charts.
• Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records.
• Performs other duties as requested or assigned. May type memos and forms.
• Other duties as assigned.
Qualifications
• High school diploma or equivalent required.
• At least 5 years of front medical office receptionist experience with insurance forms and scheduling software required.
• Knowledge of office routines and scheduling processes a plus.
• Proficiency with computer systems and Microsoft Office (Outlook, Word, Excel) required.
• Must successfully complete required e-learning courses within 90 days of occupying position.

Salary Scale: The general pay scale for this position at BRCC is $14.83 - $22.81. The actual hiring rate is dependent on many factors, including but not limited to prior work experience, education, job/position responsibilities, location, work performance, etc.
