Job Description

Role Purpose: Provide timely and compliant coordination and support across People & Culture and Finance, ensuring accurate people related and financial processing and administration.

Key Accountabilities

People & Culture

• Provide end-to-end people administration support and advice across the employee lifecycle (e.g. recruitment, onboarding, performance reviews, leave, benefits, employee changes, Total Rewards, and offboarding), ensuring accurate records and timely processing.

• Coordinate recruitment administration, including interview scheduling, candidate communications, reference checks (where required), and maintaining recruitment documentation.

• Support payroll processes by maintaining employee data changes, tracking leave and timesheet inputs (as applicable) for twice-monthly pay runs, and liaising with payroll providers/internal stakeholders for approvals.

• Provide coordination support for People & Culture initiatives and processes (e.g. training, engagement activities, performance review cycles, health, safety & wellbeing), including logistics, communications, and tracking actions to completion.

• Be a superuser and maintain people systems and tools to keep accurate employee records and data integrity ensuring accurate coding, supporting documentation, and audit-ready records.

• Prepare routine People & Culture reporting (e.g., headcount and movements, leave liability, recruitment pipeline status, training/compliance completion, and workforce data requests), ensuring data integrity and on-time delivery.

• Coordinate People & Culture inputs to commercial incentive compensation design and rollout, including alignment to Total Rewards frameworks and employment terms, maintaining role/eligibility data, supporting communication and training materials, and assisting with issue resolution and employee queries in a confidential and consistent manner.

Finance

• Support accounts payable and accounts receivable processing, including invoice coding, purchase order matching, and timely payment runs.

• Prepare and maintain accurate financial records and reconciliations in line with policy and approval limits.

• Coordinate monthly finance processes, including collecting supporting documentation, tracking, and assisting with month/year-end activities as required.

• Maintain finance trackers and reporting inputs escalating issues and variances in a timely manner.

• Use and maintain finance systems and tools to complete transactions and maintain data integrity ensuring accurate coding, supporting documentation, and audit-ready records.

• Prepare routine finance reporting and reconciled summaries (e.g. expense reporting, and month/year-end reporting as required), ensuring data is accurate, supported, and submitted to deadlines.

• Support the design and administration of commercial incentive compensation (e.g. commissions/bonuses) in partnership with Finance, P&C and Commercial leaders, including maintaining plan documentation, assisting with modelling and scenario analysis, coordinating approvals/governance, and preparing accurate calculation

inputs and payout summaries.

• Assist with Audit queries and requests.

Role Description –People & Culture and Finance Generalist

Compliance

• Maintain confidentiality and appropriately handle sensitive financial and employee information.

• Follow organizational policies and procedures, internal controls, delegated authorities, and any relevant privacy and compliance requirements.

• Support internal and external audits by maintaining complete and well-organized documentation, providing information and reports in a timely manner, and assisting with the implementation and tracking of agreed audit findings and control improvements.

• Provide reporting requirements across Finance and P&C as and when required

• Stay current with relevant finance and employment legislation, regulatory requirements, and best-practice developments, and proactively flag potential impacts, risks, or required process changes to the CFO and Global Head of People & Culture.

Health, Safety & Wellbeing

• Read and adhere to all relevant workplace health & safety policies and procedures.

• Ensure emergency procedures are understood and followed and report hazards, incidents, and near-misses promptly.

• Contribute to maintaining a safe working environment, including good workstation setup and safe work practices.

• Participate in required health and safety reporting and training relevant to the role.

Qualifications, Experience & Skills

• Relevant qualification in business administration, finance, accounting, HR, or a related discipline (or equivalent practical experience).

• 3+ years' experience in a HR/people operations role.

• Strong systems and data capability, with high attention to detail and confidence using Excel and business platforms across HR and Finance (e.g. HRIS/ATS, payroll, accounting/ERP, expense management).

• Strong communication and stakeholder skills, with a proactive, service-focused and collaborative approach.

• Strong organizational and time management skills, including the ability to prioritize, meet deadlines, and follow through on actions.

• Understanding of HR and finance legislation.

• Proven ability to maintain discretion and confidentiality, and to handle sensitive information appropriately.

• Exposure to variable incentive compensation (commission/bonus) processes, including interpreting plan rules, maintaining eligibility data, and supporting calculations, reconciliations, and reporting (advanced Excel skills strongly preferred) would be an advantage.

Physical Environment

This role operates in a hybrid working environment, with work performed from both a home-based workspace and Pacific Edge office locations as required. The role primarily involves computer-based work, including regular use of a laptop, keyboard, phone, video conferencing and other business systems. The position requires the ability to sit, stand, communicate clearly, and maintain focus for extended periods during a standard working

day. The employee is expected to maintain a safe and suitable workstation when working remotely and to follow all applicable health, safety and wellbeing requirements. Occasional domestic or international travel may be required to attend meetings, training, employee engagement activities or other business-related events of service delivery.
