## Patient Access Coordinator – CBC Oncology

We are looking for a dedicated Patient Access Coordinator to join our oncology/hematology center team in Louisville. This is a full-time position with 40 weekly hours, working the day shift. You will be the first point of contact for our patients, ensuring that every interaction is handled with the utmost care and professionalism.

In this role, you will perform a wide variety of administrative duties to keep the front office running smoothly. From typing correspondence and reports, filing, sorting and delivering mail, to processing faxes, answering phones, and scheduling appointments—your organizational skills will be essential. You will also make appointment reminder calls, process Televox reports, and manage medical records requests. Ordering supplies, scheduling diagnostic tests, and processing incoming transcribed reports are part of the job as well.

You will be responsible for registering patients, performing check-out tasks, and verifying that charts are accurate. Collecting patient demographic and insurance information, along with co-pays and other payments, requires attention to detail and accuracy. You will handle cash reconciliation, prepare daily deposits, and complete patient forms such as FMLA and Disability paperwork. Maintaining office equipment like the photocopier and fax machine is also expected.

As a Patient Access Coordinator, you may also work on missing charges reports, obtain patient referrals and pre-certifications, and schedule outpatient testing or procedures. At times, you may be asked to room patients, so flexibility is key.

### What you’ll do

- Provide excellent customer service with a friendly, professional demeanor at all times.

- Maintain patient confidentiality without exception.

- File and maintain patient records accurately.

- Handle mail properly and act as an information resource for both hospital and practice departments.

- Order office supplies, including copier, computer, printer, and fax supplies.

- Type and distribute correspondence as needed.

- Manage patient check-in, check-out, and appointment scheduling.

- Answer phones, address patient needs, and take detailed, accurate messages.

- Distribute faxes, reports, and correspondence to the right locations.

- Schedule diagnostic tests and document actions properly.

- Register patients and update demographics and insurance in the billing system.

- Collect co-pays, co-insurance, and previous balances.

- Reconcile payment posting reports and charge entry reports daily/monthly.

- Work missing charges and complete patient care referrals, pre-authorizations, and pre-certifications as directed.

- Review and process incoming transcription reports.

- Maintain medical records and process distribution requests.

- Complete patient forms, including FMLA and Disability.

### What we’re looking for

- High School diploma or equivalent is preferred.

- Computer skills are required.

- Medical terminology knowledge is required.

- Previous medical office experience is preferred.
