Job Description

Overview

The incumbent coordinates comprehensive services for oncology patients receiving care through the Infusion Suite and Hematology/Oncology Clinic. Responsibilities include patient scheduling, referral processing, insurance verification, prior authorizations, financial counseling, program enrollment, and ensuring effective communication among patients, providers, payers, and referring physicians.

Responsibilities

Key Responsibilities

• Coordinate and schedule appointments for oncology patients, including infusion treatments, clinic visits, radiation oncology services, and related procedures.
• Answer and triage calls for the Infusion Suite and Hematology/Oncology Clinic.
• Process patient orders in the EPIC electronic health record system.
• Obtain and secure prior authorizations for same-day and next-day procedures and services.
• Verify insurance coverage, benefits, and eligibility; obtain pre-certifications and authorizations as required.
• Review patient accounts to ensure appropriate financial documentation, authorization approvals, and account notes are completed and maintained.
• Complete Medicare Secondary Payer (MSP) documentation and re-verify Medicaid and financial information as required.
• Receive and process referrals from Hematology/Oncology providers, clinical trial staff, and other specialty services.
• Verify all required referral documentation, including physician orders, consents, and supporting clinical information.
• Perform medical necessity and financial clearance reviews for infusion services.
• Coordinate with pharmacy, social work, home health agencies, and other support services to facilitate patient care.
• Assist patients with enrollment in manufacturer-sponsored drug assistance programs and other financial assistance resources.
• Assemble and maintain new patient records and work collaboratively with providers and nursing staff to prevent treatment delays.
• Provide financial counseling, communicate cost estimates, collect prepayments, establish payment plans, and assist uninsured patients with sponsorship and assistance programs.
• Maintain accurate demographic and financial information within the health system.
• Manage Infusion Center scheduling to optimize resource utilization, prioritize patient needs, and support efficient operations.
• Serve as a key liaison among physicians, patients, nurses, payers, and ancillary departments to ensure seamless coordination of care.
• May be required to provide coverage and support in other clinics as needed.

Knowledge, Skills, And Abilities

• Knowledge of medical terminology, insurance verification, prior authorization processes, and financial counseling.
• Experience working with electronic health record systems, preferably EPIC.
• Strong organizational, communication, and customer service skills.
• Ability to manage multiple priorities in a fast-paced healthcare environment.
• Ability to work independently while collaborating effectively with multidisciplinary teams.

Qualifications

Minimum Qualifications

• High school diploma or equivalent required.
• Minimum of two (2) years of experience in a financial, medical office, or physician practice setting required, preferably involving patient accounts, billing, collections, or financial counseling.
• Knowledge of CPT and ICD-9/ICD-10 coding is preferred.
• A bachelor's degree may substitute for up to two (2) years of the required experience.
• Experience with the IDX system is preferred.
• Strong communication, organizational, customer service, and problem-solving skills are required.
• Ability to effectively counsel patients regarding financial responsibilities and collect payments in a professional and compassionate manner.
• Demonstrated ability to multitask, prioritize responsibilities, work independently, and collaborate effectively within a team environment.
• Proven ability to analyze issues, resolve problems, and contribute positively to team goals.

Motor Vehicle Operator Designation

• This position does not require operation of a personal or company vehicle for business purposes.
