Role Summary
The Front Desk is the first impression patients and caregivers experience at Medical Professionals of Miami. This position is a critical part of providing positive patient experience at the initial point of contact on the patient’s cancer care journey. This role encompasses front and back-office clerical functions to ensure efficient workflow and throughput for the practice. This role will report to the clinic Practice Administrator while working closely as a member of the Medical Professionals of Miami provider care team.
Responsibilities
• Welcome patients to the practice and perform registration functions.
• Request medical records from outside physicians. Communicate with referring physician offices to obtain all pertinent information regarding diagnosis as required.
• Accurately record demographic, financial, and other relevant patient information and input into the EMR.
• Scan all pertinent medical records including patient registration forms, insurance card(s), and photo ID.
• Answer inbound phone calls and respond to caller’s needs or escalate to the appropriate person to resolve all calls.
• Collect office co-pays, deductibles, and co-insurance payments as applicable and post accordingly.
• Contact no-show patients and reschedule or escalate to clinical personnel for further intervention if patient’s clinical condition has changed.
• Prepare patient accounts, which include insurance verification, for all visits to support optimal patient flow in clinic operations.
• Contacts insurance companies, specialty pharmacies, and physician offices to facilitate the process of obtaining prior authorization from third-party payers to maximize patients’ access to care in a timely manner.
• Obtains prior authorizations and manages expiring authorizations as needed for patient care.
• Communicates timely with clinical staff and third-party payers to facilitate medical necessity discussions as part of the authorization process.
• Demonstrate appropriate escalation to advocate for patients and eliminate delays in patient care.
• Confirm patient appointments through electronic means or by placing phone calls to patients and/or caregivers.
• Appointment scheduling of new and established patients, including office visits, labs, and treatment scheduling.
• Engage with patients, caregivers, insurance providers, referring providers, and staff over the phone.
• Serve as a patient advocate through complying with HIPAA standards when accessing medical records and other important, confidential documentation.
• Demonstrate a sense of ownership through contributing to the improvement of the patient’s experience.
• Act as a positive, collaborative team player by being flexible to achieve the mission of Medical Professionals of Miami.
