Reports To: Executive Director
Location: Orland Park – 100% In-Office
Position Type: Part-Time (Flexible daily hours; some evenings and weekends required)
Position Overview
We are looking for a highly organized, adaptable Administrative Assistant to join our team. In this role, you will be the operational backbone of our daily work, ensuring our office runs smoothly while supporting our expanding Treasure Chest programs. You will play a vital part in our mission: bringing comfort and distraction from painful procedures to children and teens diagnosed with cancer by providing toys, gifts, and gift cards in a treasure chest.
The ideal candidate is dependable, thrives in a dynamic environment, easily switches gears between tasks, and is deeply passionate about making a difference in the lives of pediatric cancer patients.
Key Responsibilities
Daily Office & Inventory Operations
• Serve as the primary, welcoming point of contact for donors, volunteers, and partners via phone, email, and in-person visits.
• Maintain a clean, organized office environment and manage general administrative files.
• Help organize, log, and track incoming toy and gift card donations destined for our Treasure Chests.
• Coordinate with hospitals, vendors and shipping services to ensure materials and gifts arrive where they are needed most.
Development & Program Assistance
• Actively manage and update our donor database (CRM) to ensure accurate tracking of donations, contact details, and interactions.
• Prepare and mail timely donor acknowledgment letters, tax receipts, and campaign materials.
Team Support & Logistics
• Provide logistics and hands-on support for community toy drives, volunteer days, events and fundraising campaigns.
• Maintain a flexible schedule to provide operational support during evening or weekend fundraising events and volunteer hours.
Qualifications & Skills
• Experience: 1–3 years of administrative or office coordination experience. Prior experience working or volunteering in a nonprofit environment is highly preferred.
• Tech Stack: Proficiency with Canva, Microsoft Office and Outlook. Previous CRM data entry experience is strongly preferred. Bonus if you know Panorama and Adobe Creative Suite.
• Adaptability: Comfort working in a fast-paced environment where priorities can shift as our program grows.
• Communication: Exceptional verbal and written communication skills with a warm, empathetic, and professional demeanor and positive attitude.
• Valid driver's license preferred.
