Employment Type: Full Time, Exempt

Compensation: $45,000-$55,000 annually, based on education and experience

Schedule: Monday-Friday 9:30am-5:30pm

Location: New Haven, CT (On-site)

Reports To: Executive Director

What You'll Do



Position Summary

The Administrative Assistant supports the smooth and effective day-to-day operations of Leila Day by providing administrative support to the Executive Director and Director of Operations. This role is responsible for maintaining accurate school records and administrative systems; supporting enrollment, financial aid, development, and regulatory processes; and helping ensure that families, staff, and visitors experience a welcoming and well-organized school office.



The ideal candidate is highly organized, detail-oriented, dependable, and comfortable managing multiple recurring administrative processes. They bring warmth and professionalism to interactions with children, families, staff, and community members and understand the importance of discretion when working with confidential information. They possess a strong working knowledge of digital systems and are proactive in identifying opportunities to improve the organization, efficiency, and accuracy of our administrative and record-keeping systems.



Key Responsibilities

The Administrative & Operations Coordinator will support a wide range of school operations, including:




- Managing detailed records and databases
- Scheduling and coordinating multiple priorities
- Enrollment and application paperwork
- Financial documentation
- Maintain Student files and school wide reporting needs
- Communicating with families, staff, and outside agencies
- Tracking deadlines and compliance requirements
- Creating systems and improving office processes
- Handling confidential information






Requirements



Qualifications

- Strong organizational skills and attention to detail.
- Ability to manage multiple administrative processes, deadlines, and recurring responsibilities.
- Strong written and verbal communication skills.
- Comfort using spreadsheets, databases, email, and standard office technology
- Ability to maintain confidentiality and exercise discretion when handling student, family, personnel, and financial information.
- Warm, professional, and responsive communication with families, staff, and visitors.
- Ability to work independently while collaborating effectively with school leadership and colleagues.
- Proficiency with Google Workforce and Microsoft Teams
- Proficiency with Canva
- Minimum 2 years of professional administrative experience
